Job Purpose

  • To enable the smooth running of the Portfolio Build exercise by managing the project's documentation and providing a knowledge base and retrieval service for the project. 
  • The Portfolio Build exercise is a pan-organisation process that will lead to the definition of the FY22 Project Portfolio and inform the FY22 portfolio budget request.
  • The job holder will support the Portfolio Build Manager with the successful running of the exercise.  They will be required to work with multiple stakeholders (including Senior Management) to support the timely gathering of Business Opportunity Proposals (BOPs) from all parts of the business, ensuring these are complete and written to the agreed standard.  They will manage the filing of the paperwork and will be required to transfer key metrics into a single file that allows for detailed analysis and scenario planning.

Principal Accountabilities

  • Support the Portfolio Build Manager and Portfolio Build team with gathering BOPs (based on agreed principles and timelines)• Manage an electronic documentation filing system for Portfolio Build documentation and BOPs
  •  Ensure that there is a single record of authority for each document and strive to prevent any confusion for where “the latest copy” of any document is.
  • Manage the filing of the required deliverables at each key milestone in the Portfolio Build exercise, and ensure that the status is easily reportable.
  • Actively ensure that, on request, key documents are available to the relevant stakeholders and that updates are pro-actively distributed as necessary
  • Responsible for maintaining a central Key Metrics file that captures key metrics from the BOPs received and allows for analysis of the data to support the prioritisation of the portfolio
  • Responsible for ensuring that good documentation version control is used• Responsible for ensuring that the correct document templates are used across the exercise
  • On request, organise the documentation required for Portfolio Build meetings and workshops and provide support to the Portfolio Build Manager with the booking of meetings/workshops.

  • Strong IT skills including advanced Excel and proficient use of MS Office suite
  • Prefer experience in an administrative role.
